Meeting Minutes with AI — From Recording to Decisions in 10 Minutes

A repeatable workflow to turn a Zoom, Teams or Google Meet recording into accurate minutes, decisions and action items with AI transcription — and what to check before sharing.

Taking notes during a meeting means you are not fully in the meeting. Recording it and letting AI produce the minutes solves that, as long as the workflow is reliable. Here is the one we recommend.

1. Record with consent

Tell participants the meeting is recorded and why. In Zoom, Teams and Google Meet the recording banner does this automatically; add a line in the invitation for good measure. Export the MP4 or M4A once the meeting ends.

2. Transcribe with speaker identification

Upload the file to a transcription tool that labels speakers. A 60-minute meeting takes a few minutes to process. Check the speaker labels on the first minutes — most tools let you rename “Speaker 1” into a real name once, and it applies everywhere.

3. Generate the minutes

From the transcript, ask the AI for meeting notes. A good output has five parts:

  1. Summary — three to six sentences.
  2. Decisions — what was decided, by whom.
  3. Action items — who does what, by when.
  4. Open questions — what was not resolved.
  5. Participants — who was there.

Crucially, each point should link to a timestamp so anyone can verify it against the recording. Minutes generated only from the transcript, with no outside knowledge, avoid the “confident but wrong” problem.

4. Review before sharing

Spend two minutes on the decisions and action items: they are what people will act on. Click the timestamps for anything surprising. Fix a name or a number inline, then export as DOCX or PDF.

5. Keep the recording only as long as needed

Meeting recordings are often sensitive. Prefer a tool with an explicit retention policy (Retranscrit deletes files after 24 hours on the free plan, 30 or 90 days on paid plans) and delete the file yourself once the minutes are approved.

What it changes

Teams that adopt this workflow report shorter meetings (no one is typing), fewer “what did we decide?” threads, and a searchable archive of decisions. The cost is a few minutes of review per meeting.
